Why you can't see this cost
A missed call doesn't show up anywhere a practice owner looks. There's no cancelled appointment and no complaint. Most new patients who reach voicemail don't leave a message; they call the next practice on their list. The only trace is a line in your phone system's call log.
That's why missed calls are one of the easiest leaks to underestimate, and one of the easiest to fix.
How to find your real number in 15 minutes
- Pull your missed-call report. Most phone systems (RingCentral, Weave, Mango, Nextiva and others) show missed and abandoned calls by day and hour. Look at the last four weeks.
- Remove existing patients. Match missed numbers against your patient list. What's left is mostly new patients and people shopping around.
- Look at when they happen. Lunch, the first and last hour of the day, Saturdays and holidays are the usual gaps.
- Count voicemails left. Compare voicemails to missed calls. The gap is people who hung up.
- Call your own office after hours from a cell phone and listen to what a new patient hears.
Prefer not to do it yourself? Our free leak audit calls your practice after hours like a new patient and sends you a short video of what happened.
6 ways to stop losing new-patient calls
- Stagger lunch breaks so someone always covers the phone between 12 and 2.
- Set forward-on-no-answer so unanswered calls ring a second line or service instead of voicemail.
- Make a 5-minute callback rule for every missed call during business hours.
- Turn on missed-call text-back so the caller gets an instant text and the conversation keeps going.
- Put booking on your website with a clear button, so some patients never need to call.
- Cover after hours and weekends with an answering service or an AI receptionist that can book the appointment, not just take a message.

Common questions
How many calls does a dental practice miss?
It varies a lot by practice, staffing and time of day. The only reliable number is your own: pull the missed-call report from your phone system for the last four weeks and remove existing patients.
What is a new dental patient worth?
It depends on your fees, insurance mix and services. Many practices add up the first-year value of exams, cleanings, x-rays and typical treatment, then note that patients who stay bring years of visits and referrals on top.
Isn't voicemail good enough after hours?
Many new patients won't leave a message and will call another practice instead. Voicemail also can't answer an insurance question or book a time.
Does the calculator store my numbers?
No. It runs entirely in your browser, and nothing you type is sent anywhere.
