Last updated: October 17, 2026
ClinicEcho ("we", "us") provides AI receptionist, follow-up and patient-capture services to medical spas and dental practices ("clinics"). This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
- Contact information you send us, such as your name, clinic name, email address, phone number and website.
- Call and message content when you call or text a ClinicEcho phone line, including demo lines. Calls may be recorded and transcribed.
- Clinic patient information that a clinic client shares with us, or that patients provide when contacting a clinic through our services (for example, name, phone number, appointment requests).
- Basic website data such as browser type and pages visited.
How we use information
- To answer calls and messages, book appointments and send reminders on behalf of our clinic clients.
- To respond to inquiries and provide our services to clinics.
- To improve the quality and accuracy of our AI receptionist.
- To meet legal, security and billing obligations.
We do not sell personal information.
Patient health information
When we handle protected health information for a clinic, we do so under a Business Associate Agreement with that clinic and only as the clinic instructs. That clinic's own privacy practices also apply.
Text messaging (SMS)
If you contact a clinic or ClinicEcho by phone or text, you may receive text messages about your inquiry or appointment. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Mobile phone numbers and SMS consent are not shared with or sold to third parties or affiliates for marketing purposes.
How we share information
We share information only with service providers that help us run our services (such as telephony, messaging, AI and hosting providers) under appropriate agreements, with the clinic you contacted, or when required by law.
Data retention and security
We keep information only as long as needed to provide our services or meet legal obligations, and we use reasonable administrative, technical and physical safeguards to protect it.
Your choices
You can ask us to access, correct or delete your information by emailing hello@clinicecho.com. If your information was provided through a clinic, we may refer your request to that clinic.
Changes
We may update this policy from time to time. The date above shows when it was last changed.
